Types of Undergraduate Programs 

Students in undergraduate structured programs (matriculation term fall 2022) will not need a concurred or approved degree program.  While DP Planner will not be used for the programs listed, it remains available for all students and mentors to explore individualized degree programs.

Areas of Study and Liberal Arts still require degree program creation, submission, and approval/concurrence utilizing DP Planner. After concurrence, approved degree program plans will be entered into Degree Works by the Registrar’s Office.  

DP Planner and Degree Works 

DP Planner remains a degree planning and approval tool for individualized programs. For structured programs (matriculation term fall 2022), Degree Works replaces the need for DP Planner. DP Planner and Degree Works are separate, and both are available to any student. Structured program requirements are pre-populated in Degree Works. 

To determine whether a DP needs to be created and approved, the mentor needs to know the student's degree on record (in Banner) and matriculation term. Both pieces of information may be found in Self-Service Banner (SSB), Degree Works, and DP Planner. 

Students work with their mentors to explore individualized programs using DP Planner.  

Students work with their mentors to explore structured programs using the Degree Works “What-if” functionality (see Degree Works guides for detailed information).  

Students in Liberal Arts will create their degree program and seek concurrence using DP PlannerOnce concurred, their concurred degree program plan will appear in Degree Works 

Changing Programs 

In order to change or add a degree please have the student submit a Degree Add and Change Request Form found within the Self-Service Banner link on my.sunyempire.edu. Once processed, the student and mentor will receive a notification by email, normally within 1 to 2 business days. Please note that this form is not for use by non-matriculated students, or students in the Schools of Graduate Studies, Labor, International Education or Nursing and Allied Health. Non-matriculated students should contact Admissions. 

Degree Works will show the program that is listed in Banner.

Once the form is processed and the change is entered into Banner, Degree Works will update overnight. 

Degree Works audits are read-only access, except for Notes. Mentors can add Notes to a student’s audit. Degree Works reflects a student’s record in Banner. 

Petitions for changes/updates to student’s degree 

Degree Works has a petitions process within the audit itself, where mentors can request substitutions and changes.  

Course substitutions, transfer credit substitution, course not falling in the correct category, etc.  

One to two weeks. 

Please discuss this with the Office of the Registrar. We can make a change to how the audits work to anticipate these requests and/or look at how Transfer Credit equivalents are made. 

Any changes to concurred degree programs should go through the appropriate Office of Academic Review.  

Course Selection

No. Students should work with their mentors to discuss their course selection and sequence. If a mentor is recommending a student take a particular course, that can be noted in Degree Works using the notes functionality.  

Not on the undergraduate level. Students and mentors should read the course description for details on existing prerequisites.  For courses in SGS (School of Graduate Studies) with enforced prerequisites, there will be a note icon next to the course in the audit. Students cannot register through Degree Works.  

Advanced Standing 

Upon admission to the university, students credit from directly transferable sources (i.e. AOK and AOK/CBE institutions) are added to the student record in Banner. Transcripts submitted after admission are entered into Banner upon receipt. Once the credit is entered in Banner the student’s Degree Works audit will display it within 24 hours 

Yes. Students matriculated Fall 2022 will have their transfer credit fully evaluated by the Office of the Registrar and faculty Department Chairs. If a course has not yet been evaluated, it will go through the evaluation process and be updated on the student record once completed.  

All courses with a subject prefix that does not include Xs have been evaluated. For example, TBUS 1XXX has been evaluated, while TXXX 1XXX has not been evaluated.  

Yes. DW will show General Education requirements met from both SUNY (State University of New York) and non-SUNY schools for incoming students.

If a student has an earned AA, AS, or AAS degree, courses with D-grades may be transferred and used in the SUNY Empire degree. If you see that D-grades from earned degrees are not counting toward credit totals (i.e. courses with D-grades are falling into the “insufficient” category in Degree Works), please submit a petition and the Office of the Registrar will adjust the credits.

Students in structured programs will have their iPLA review by faculty committee facilitated by their divisional office of academic review. iPLA will be applied to the student record by the Office of the Registrar, and then appear on the Degree Works audit.

Once a student submits official documentation to Admissions, PLE credit will be applied to the student record. If the PLE is going to be used to substitute for a major requirement, the mentor will submit a petition in Degree Works.   

All courses evaluated for transfer can be found on the TES by CollegeSource website (no login required). Make sure to read the comments for detailed information about gen ed categories, liberal arts & sciences designations, etc.   

Educational Planning 

Students in the Degree Works pilot programs do need to satisfy the university's Educational Planning credit requirements.  However, since many of the courses bearing the EDPL course subject code are focused on developing and finalizing an individualized degree plan, they may not be the best choices for students in the structured pilot programs.  Exceptions include EDPL courses focused on career planning (EDPL 1122) or prior learning assessment (EDPL 2005).  

Any course with the Educational Planning attribute can be used to satisfy the university's educational planning requirement, making it easy to find non-EDPL courses that will serve students. 

All students matriculated prior to Fall 2022 still need to go through the academic review and concurrence process including preparing and submitting a rationale as part of their degree program portfolio. For students matriculated Fall 2022, students in pilot programs will complete a rationale essay, but given the Degree Works audit process, the essay will not go through an academic review committee or university-level review.  Instead, the essay should be submitted to the student's mentor/advisor.

Mentoring

Degree Works is a tool for students and mentors to view degree requirements and progress towards completion. Students and mentors will still work together to discuss how to meet those requirements, course sequencing, advanced standing, and learning goals.
